Admin / Office Coordinator

Provide administrative support for the SVP & GM, general office management and back up admin support for finance department.

Essential Duties and Responsibilities

Administrative Support
  • Provide primary admin support to SVP & GM
  • Provide admin support (invoice sorting / filing) as needed to Finance Manager

Event Planning
  • Create and own our “Client Visit Experience”
  • Board Meetings
  • Key leadership visits
  • Organize key meetings and events for clients, leadership, and employee events
  • Coordinate trade shows, travel & lodging, and other external events

Marketing
  • Coordinate print materials and other media
  • Maintain stock levels of sales related materials

Finance
  • Invoice coding, reconciliation and filing

HR
  • General HR support for site
  • Collect and distribute new hire paperwork
  • Coordinate new hire orientation
  • Maintain employee board and employee meetings

Facility
  • Supply purchases
  • Coordinate maintenance and cleaning
  • Vendor management

    • Education/Experience Requirements

      • High School diploma with 1-2 years administrative experience. Experience in Human Resources a plus.
      • College degree preferred

      • Must have strong Microsoft Outlook, PowerPoint, Excel and Word skills
      • Must have excellent communication and interpersonal skills
      • High attention to detail with accuracy
      • Organized, efficient and able to function in a fast-paced, multi-tasking environment
